Type of data that HamMUN collects
The types of personal data that HamMUN collects if you sign up for an
account, includes: First Name, Last Name, Date of Birth, Phone number,
Address, Username, Email address, Password, Country, State, ZIP/Postal code,
City and various types of data. You also be asked about your personal
motivation, committee and country preferences.
We collect information from you when you fill out the registration form. By
filling out the registration form you agree on processing your data under Art. 6
I a GDPR. Please note you can always recall your agreement with effect for
future processing.
We also collect your IP address, which is necessary in order to connect you to
our servers and is therefore allowed under Art. 6 I b DSGVO.
How the information is protected
The data is only accessible by a restricted number of persons who have
specially assigned access rights and have agreed upon a nondisclosure
agreement. Your password stored in our database is encrypted.
How we use Information that we collect
HamMUN needs to collect the information that you provide when you register
to give you the best possible experience and make this conferences happen at
all. As a delegate the data you provide is for your country allocation and for
the conference team to make your participation more comfortable.
As a chair the data you provide is for the selection process, allocation to a
committee and organizing the conference.
Therefore we will save your personal data as long as it is needed for the
conference, latest delete date is the January following your participation at
HamMUN.
Not sharing your data would mean there is no possibility for you to participate
in our conferences in any way.
Third Party Disclosure
We do not sell, trade, or otherwise transfer to outside parties your personally
information unless we provide you with advance notice. This does not include
website hosting partners and other parties who assist us in operating our
website, conducting our business, or servicing you, so long as those parties
agree to keep this information confidential. We may also release your
information when we believe release is appropriate to comply with the law,
enforce our site policies, or protect ours or others rights, property, or safety.
We share data with the online MUN Application Software MyMUN.com, which
servers are located in Falkenstein, Germany.
Your Rights
You may obtain a confirmation as to whether or not personal data concerning
you are being processed under Art. 15 GDPR. You may further request to
erasure your personal data (Art. 17) or to restrict the processing of your
personal data (Art. 18). Also you may raise your right to object the processing
(Art. 20).
You have the right to address the supervisory authority.
